When your office goes cold in January, the first instinct is to find a contractor. I understand. You're not the person who owns the problem—you're just the one who has to coordinate the fix. But after five years of managing purchasing and building maintenance for a mid-sized company, I can tell you this: the 15 minutes you spend doing a few basic checks before calling for help is the most valuable time in the whole process.
This checklist is for anyone dealing with a Mitsubishi Electric ducted heat pump that's blowing cool air or not heating at all. Walk around the building and actually look at the unit. Is it buried under leaves? Did deliveries pile up against it? Is there frost or ice coating the coil?
If the coil is frozen thick, don't try to chip the ice off. That's how coils get punctured, and that turns a simple problem into a real repair bill. Shut the system down and let it defrost. If ice keeps coming back, you likely have a refrigerant issue or a faulty defrost sensor—both of which are legitimately the contractor's territory.
Step 4: Clear the Condensate Drain Line
Here's the one most people don't think of, and it's bitten us twice.
A heat pump moves heat, sure, but it also moves water. During cooling, the indoor coil condenses humidity out of the air. During heating, defrost cycles melt frost off the outdoor coil. That water has to go somewhere, and the condensate drain is how it gets out. Clogs happen, and when they do, a safety sensor will shut the system down to prevent water damage. The system looks dead. It's not.
If your heat pump ran all summer and then "stopped working" when you switched to heat, check the condensate line before you call anyone. I cleared ours with a wet/dry vacuum attached to the outdoor end of the line, and the system came right back. That's a five-minute fix with a tool you probably already have.
While you're in water-maintenance mode, think about your hot water heater. It's not HVAC, but it's the same philosophy. Most units have a drain valve at the bottom, and they should be drained once a year to flush out sediment. If you've never been shown how to drain a hot water heater, it's simple: turn off the power or gas, attach a garden hose to the drain valve, open a hot water tap to let it flow, and run it until the water comes out clear. Do that annually, and your tank works less hard and lasts noticeably longer.
Step 5: Read the Error Code Before You Dial
Here's something a lot of contractors won't volunteer: much of their time on a diagnostic call is spent reading codes the unit already has on display. You can do that part yourself.
Mitsubishi Electric systems store fault codes and show them through the indoor unit's LED panel or the remote controller. The code might be a number, a letter, or a blink pattern. Take a photo. If the unit is blinking slow versus fast, note that too. Give that information to your contractor before they come out.
Larger commercial units may also include an oil pressure sensor that watches the compressor's lubrication. If it trips, the system locks out. That's not something you should reset without understanding why it triggered. But the code tells you it's the oil pressure sensor, which tells the contractor where to start. Step 6: Check the Power Supply, Including GFCI Outlets
This one is embarrassingly obvious, but it's on this list for a reason.
If the breaker for the heat pump or the indoor unit tripped, the system isn't getting power. Go look at your electrical panel and check. If the breaker is tripped, reset it. If it trips again soon after, stop and get an electrician—there's a real issue.
Now for the story that makes me smile every time I tell it. Our office ice maker machine quit in the summer of 2024. A vendor quoted $450 plus parts to replace the compressor. Before approving it, our facilities guy noticed the outlet had a GFCI that had tripped. He pressed the reset button, and that ice maker machine has run fine ever since. What Not to Do
